About the role 

This position is envisioned as a Working Student role, ideally suited for an individual looking to gain hands-on experience in a dynamic, cross-functional environment  

This role requires working onsite at Berlin in the Charlottenburg office between Monday and Thursday, working alongside the Office Manager, who will guide and support you.

You’ll be key to ensuring the office runs smoothly while supporting initiatives that strengthen our collaborative, friendly, and positive company culture.

Key responsibilities: 

  • Communication & Requests: Support responses to inquiries sent to the general office email (office@).
  • Mail & Package Handling: Assist with sending and receiving mail and packages, including delivering office equipment (e.g., monitors, laptops) to nearby courier points (approximately 200 meters away)
  • Office Culture & Events: Support internal events and social activities to foster team engagement, including assisting with logistics for company gatherings
  • Third-Party Vendors, Collaboration & Office Visits: Assist with facility management tasks (e.g., periodic checks, training). Collaborate with IT and Business Operations on equipment needs, coordinate onsite with cleaning services, handle related requests, and support Health & Safety inspections. Provide assistance during client visits
  • Office Manager Assistance: Support weekly grocery and office supply management. Maintain kitchen areas, refill coffee machines, and ensure readiness for daily use. Help prepare welcome bags for new hires
  • Meeting Support: Assist with meeting preparation, including room bookings, catering arrangements, and organizing materials. 

Requirements: 

  • Fluent in English and German (essential for interactions with third-party vendors, via phone, email and in person).
  • Strong organizational and communication skills, with keen attention to detail.
  • Employee-centered mindset, proactive, quick learner, and collaborative; prone to give and receive feedback constructively.
  • Solution-oriented and ready to work in a dynamic, hybrid work environment.
  • Proven experience in MS Office environment (Outlook, Word, Excel)
